THE JOB AT A GLANCE
As a Team Assistant, you will be working closely with the COO for Group Operations as well as the Head of Quality Assurance. You will be supporting them with all related administrative functions for effective and efficient service delivery.
WHAT WILL YOU DO?
Provide general secretarial support to the assigned Heads
- Arranging meetings and managing the diaries of the assigned COO and HOD
- Compiling of monthly reports for circulation per agreed timelines
- Arranging and coordinating departmental meetings as and when necessary
- Typing of reports, letters, presentations, circulars and general correspondence
- Handling and managing departmental queries
Travel Arrangements
- Responsible for the end-to-end travel arrangements for the assigned Heads and the departments
- Processing all financial/budget requests for sign-off
- Minute taking
- Drafting agendas for the periodic meetings as required
- Circulation of accurate and quality minutes for the meetings within the agreed timelines
General Administrative Duties
- Follow up on deadlines to subordinates by means of electronic task requests
- Diarize committee circulars and deadlines
- Assist with budget control
- Manage the departmental documents on SharePoint through editing, version control and publishing
- Upload month end reports on SharePoint
- Booking meeting rooms as requested
- Stationery orders
- Responsible for Invoices and Opex management
- Assist with basic administration duties and project coordination support (logistics for projects)
- Assist with event management

Requirements:
WHAT YOU'LL BRING TO THE TABLE?
- Grade 12 (Required)
- Diploma in Office Administration/Secretarial or Project management (Added advantage)
- At least 2 - 3 years’ experience in being a personal/team assistant, project coordination/event coordination
- Experience in Invoice and Opex management
- Managing work (includes time management)
- Experience in event management
- Ability to work under pressure
