My client in Oil & Gas is looking for a Temporary Receptionist to manage front desk operations, switchboard duties, and travel bookings. Fully bilingual in English & Afrikaans a MUST
The ideal candidate has 5+ years of experience in reception and travel coordination, thrives in a fast-paced environment, and is bilingual (English & Afrikaans).
Key Responsibilities - Must have experience in all of the below.
Reception Duties:
- Greet and assist visitors professionally.
- Answer, screen, and forward calls efficiently.
- Maintain an organized and welcoming reception area.
Travel Coordination:
- Arrange domestic and international travel for employees.
- Coordinate flights, accommodation, and transport.
- Ensure travel plans align with company policies and budgets.
Switchboard Operations:
- Operate a multi-line switchboard and direct calls appropriately.
- Handle inquiries and provide essential information.
Administrative Support:
- Manage office supplies and reception upkeep.
- Organize couriers (Courier Guy, collections and deliveries).
- Liaise with building managers regarding maintenance and potential noise disruptions.
- Arrange for technicians to resolve printer and internet issues.
- Assist the depot manager with obtaining quotations and purchases.
- Update truck driver certifications, including medical and dangerous goods certificates.
- Handle harbour pass applications for drivers and ensure collection.
- Process and track delivery notebooks and director-requested items, including obtaining
quotes, approvals, and payment follow-ups.
- Arrange pharmacy orders and stationery requests for directors.
- Perform additional administrative tasks as required by management.
Qualifications & Requirements
- Minimum of 5 years’ experience as a receptionist.
- Strong background in travel coordination and bookings.
- Proficiency in switchboard operations and MS Office.
- Fluent in English and Afrikaans (reading, writing, and speaking).
- Valid driver’s license and own transport preferred.
- Professional appearance with a flexible and adaptable work approach.
