Job Purpose:
The Administrator is responsible for assisting the Operations Manager in efficiently managing contractual, compliance, and performance-related tasks. This role involves document control, data management, reporting, and administrative coordination to ensure smooth operations and compliance with contractual obligations.
The ideal candidate will be organized, detail-oriented, and proficient in data handling and reporting, with the ability to manage multiple tasks and deadlines in a fast-paced environment.
Key Responsibilities:

Document & Correspondence Management:
- Manage emails, data, and correspondence critical to contracts and KPIs.
- Prepare, type, proofread, and format documents quickly and accurately.
- Maintain an indexed and structured document control and filing system.

Data Collection & Reporting:
- Assist in data collection, analysis, and presentation for reports, budgets, and projects.
- Organize operational and process evaluation data packs for scheduled reviews.
- Maintain backup systems for contractual and client data.

Administrative & Compliance Support:
- Assist with SHEQ, HR, and other procedural system management.
- Support client communications, contract documentation, calendar management, and meeting coordination.
- Prepare and document meeting minutes for internal and external use.

Operational Assistance:
- Prioritize incoming data, requests, and responses for streamlined operations.
- Assist in coordinating visitors, functions, and contract-related tasks.
- Handle tasks assigned by the Operations Manager to support operational efficiency.
Required Skills
- Administrator: 2 to 3 years
Candidate Requirements
Minimum Requirements:
- Grade 12 (Matric) & relevant tertiary qualifications in administration or a related field.
- Experience in project, contract, and office administration.
- Knowledge of contractual document control and data administration.
- Experience handling operational, maintenance, and contractor-related data.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint) and data management systems.
- Ability to compile, manipulate, report, and present data effectively.
