The function is responsible for providing professional, efficient, and effective legal and administrative assistance to the client Group Legal Department in South Africa in all aspects of Clients operations, such as divisions of the client, departments, and subsidiaries, to enable the client to achieve its overall business objectives in relation to paralegal and administrative duties.
Outputs/Job responsibilities include:
- Preparing first drafts of agreements and other legal documentation for review by the relevant manager(s).
- Conducting legal research to find applicable legislation, cases, and precedents.
- Draft initial legal opinions.
- Analyse the necessary information and draft a summary, opinion, report, or recommendation based on the information available.
- Assist in preparing cases for trial, gathering facts, and analysing legal positions.
- The administration of client Group SA’s company secretarial documentation.
- Timeous and efficient management of the invoicing and payment process for the legal department to ensure cost effectiveness, efficiency, and control over budget is strictly maintained.
- Providing administration support by, inter alia, regularly preparing reports on litigation and external legal costs.
- Drafting and operational reports, administrating the work allocation.
- Monitoring training, preparation of communiques for business, manual and electronic filing, ensuring safe custody of contracts and other documents.
- Mastering all IT systems related to the day-to-day business of the Legal Department, including document management, case management, external counsel management systems.
- Ordering stationery, arranging local and international travel, administration, and other ad hoc duties as required from time to time.
- Assist Company Secretaries in company secretarial duties, viz filing and document retention, preparing minutes, agendas, board packs, managing calendars, and presentation/report submissions.
- Bachelor’s Degree in LLB or Paralegal Qualification.
- 7 years + proven working experience in a commercial law firm or in-house commercial legal department in a large and/or multinational corporate as a paralegal and administrative assistant.
- Legal drafting skills.
- prove legal research skills, i.e., understanding the law and applying it in a given context.
- Commitment to timeous delivery and according to mandate.
- Can work independently with little supervision.
- Is a consistent proactive team player with a strong work ethic who is committed to excellence.
- Has a high emotional intelligence and resilience.
- Ability to be discreet and observes strict confidentiality.
- Sound knowledge of Word, Excel, PowerPoint; knowledge of SAP SRM is advantageous.
- Collaborative and positive attitude.
- High attention to detail.
- Transparent and communicative.
