Introduction
Our client is looking for a POD Administrator responsible for ensuring that all proof of delivery (POD) documents are received on time, sent to clients, and properly scanned and filed as per company protocols.
Duties & Responsibilities
POD Administration
- Ensure all POD documents are received timeously.
- Distribute PODs to clients in accordance with company procedures.
- Scan and file POD documents accurately and securely.
- Maintain and update the POD tracking system.
- Verify POD documentation for completeness and accuracy.
- Follow up on missing or incorrect PODs with relevant transporters and drivers.
Data Management & Reporting
- Maintain an organized filing system for all PODs, both digital and physical.
- Provide reports on outstanding and completed PODs.
- Ensure all PODs are properly stored and accessible for future reference.
- Assist with audits and reconciliations as required.
Customer Service & Communication
- Communicate effectively with clients, transporters, and internal teams regarding POD-related matters.
- Respond promptly to POD-related queries from clients and stakeholders.
- Escalate unresolved POD issues to the relevant department.
- Ensure all communications are professional and align with company standards.
Risk & Compliance Management
- Ensure all PODs comply with company policies and industry regulations.
- Maintain data integrity and confidentiality of client and company documents.
- Identify risks related to POD management and suggest improvements to mitigate them.
Self-Development
- Engage in training and development opportunities related to POD administration.
- Identify personal growth areas and seek solutions for continuous improvement.
- Maintain up-to-date knowledge of best practices in transport and logistics documentation.

Required Skills
- Pod Administrator: 2 to 3 years
- Proof Of Delivery Administration: 2 to 3 years
Candidate Requirements
Key Requirements of the Position
Experience
- Minimum 3 years of experience working in the transport/road freight industry (Non-Negotiable).
Skills
- High level of computer literacy in Microsoft Office & Winfreight.
- Strong numeracy skills.
- Excellent written and verbal communication skills.
- Ability to work under pressure and meet deadlines.
- Strong teamwork and collaboration skills.
- Professional demeanor in client and transporter interactions.
