The Two Oceans Aquarium is known for delivering exceptional guest experiences, we specialise in hosting a wide range of events from conferences and meetings to private dinners and cocktail gatherings.
We are looking for an Event Sales Co-ordinator to join our dynamic Conferencing and Events team. We need a well presented, motivated, creative thinker who has a keen interest in the tourism and hospitality sector and an eagerness to contribute to the overall success of one of Cape Town’s top tourist attractions.
The permanent position entails marketing, selling and co-ordinating events. The successful candidate will be responsible for account management, sales prospecting and business development.
Candidate Requirements
Minimum Requirements:
· A degree or diploma with marketing and tourism subjects
· Excellent interpersonal and organizational skills
· Two years’ experience in a similar role within the hospitality or events industry
· Valid driver’s license
· Proficiency in MS Office suite and hospitality booking systems
Skills Required:
· Organisational skills and attention to detail
· Communication and interpersonal skills
· Negotiation skills when looking for the best price from, suppliers and contractors
· Time-management skills and the ability to work under pressure to ensure the efficient running of an event
· Problem-solving skills and diplomacy
· A good understanding of event budgets
· Administrative and IT skills; and
· Self-motivation and enthusiasm.
Key Responsibilities:
· Sales prospecting, customer relationship management, event planning and co-ordination, logistics oversight, revenue management and communications
· Preparing proposals for clients and maintaining well-organised event records
· Building and maintaining working relationships with internal and external partners and leveraging these relationships to deliver innovative and memorable events
· Conducting client meetings and facilitating site inspections
· Identifying event logistics and negotiating contracts
· Pro-actively communicate event information, setting clear expectations for event deliverables
· Preparing detailed event reports, cost projections and other financial metrics
· Analysing and reconciling event details and consolidating the information into actionable event plans
· Issuing invoices and collecting payments in a timely manner, and creating comprehensive and reliable financial reports
· Obtain quotations from, suppliers and contractors
· Keep track and follow up on client payments
Reporting to: The Banqueting Manager
