Preparing for all meetings and placing reports in meeting folders
Filling in for reception during lunchtime when required
Check traffic fines
Send out electronic signature logs
Ordering beverages/stock for the bar, office and boardrooms when required
Keeping slips of all expenses, compiling a spreadsheet of expenses for the month and submitting it to Bookkeeper on a monthly basis for reconciling
Purchasing of office groceries
Update all vehicle files with fines, insurance claims and ensure all drivers’ details are correct

Checking and putting agreements together
Keeping all documents in safe updated
Archiving/Filing
Sorting of all documentation and paperwork for new vehicles
Arranging for C-Track units to be installed or removed
Vendor applications
Cancelling or terminating Supplier contracts
Typing of Memos and letters as well as distributing them to the relevant parties
Sorting and ordering corporate clothing
Arranging vehicle stickers
Arranging and sorting of business cards for all employees
Training of staff where required
Putting travel packs together for directors for all travel arrangements and adding all information to the calendar
Organising travel and preparing complex travel itineraries
Arranging/cancelling of fuel cards, license renewal and e-tags
Updating/amending/cancelling insurance policies
Reporting faults to VOX and Decer when they arise
Placing ads on OLX/Gumtree for when needed
Designing of logos and letterheads from time to time
Marketing and marketing material
Updating company profile and stationary and distributing to all staff
Dealing with insurance claims
Dealing with building maintenance and general repairs
Sorting and arranging vehicle permits for cross boarder
Sorting and arranging visa documentation for various travel requirements
Liaising with relevant organisations
Checking and assisting with internal e-mails and letters
Planning, organising and managing events
Conducting research
Following up on quotations and forwarding to customers
Sourcing and ordering office equipment
Assisting with tenders & contractors packs
Arranging for drivers to perform errands when required
Candidate Requirements
5 years’ Personal Assistant experience
Computer Literate
Matric and Higher Certificate or Diploma will be an advantage
