1. Onboarding New Employees
- Set up new starter workstations promptly:
- Configure computers (Active Directory, admin rights, settings, etc.)
- Create user profiles on Microsoft 365 Admin Center (username, email, signature, groups)
- Coordinate software access with the Practice Manager
- Set up BitLocker
- Arrange desktop screens, cables, mouse, and telephone
- Maintain the asset register
- Remove access promptly:
- Update Active Directory (remove groups, reset passwords, deactivate accounts)
- Apply relevant Microsoft 365 changes (remove groups, reset passwords, configure automatic replies, adjust licenses, manage shared mailboxes)
- Remove access to software programs in coordination with the Practice Manager
- Update Biometric system access
- Collect company property:
- Retrieve laptops, desktop screens, cables, mice, telephones, and access cards
- Remove BitLocker and format laptops securely after data backup
- Update the asset register
- Address daily IT and email-related queries:
- Manage the IT mailbox for general inquiries
- Resolve software and email-related issues
- Provide support for printers, telephones, and hardware
- Liaise with the Practice Manager or IT Service Provider as needed and provide timely updates
- Perform troubleshooting to diagnose and resolve issues, ensuring minimal recurrence
- Manage platform and software access according to job descriptions in coordination with the Practice Manager and IT Service Provider
- Maintain system security and privacy in conjunction with the IT Service Provider
- Maintain IT asset registers (computers, monitors, telephones, printers, laptops, and other equipment)
- Ensure timely renewal of software licenses
- Develop and update IT policies, communicating changes to staff
- Ensure buffer laptops are securely stored
- Monitor employee internet usage and report misuse to the Practice Manager monthly
- Identify and communicate network or equipment shortages promptly
- Monitor:
- Cloud server connectivity and interruptions
- Server room temperature (UPS notifications)
- Update Wi-Fi passwords regularly
- Schedule upgrades and maintenance with minimal disruption to operations
- Conduct laptop upgrades (SSD and RAM)
- Research and recommend accounting and audit software for performance optimization
- Provide staff training on new programs and tools
- Assist with app installations and setups (authenticators, alarms, etc.)
- Support general maintenance and ad hoc tasks as required
- Matric certificate
- Valid driver’s license
- A+ | N+ qualification
- Microsoft certification or a relevant IT certification/diploma (advantageous)
- 1-3 years of IT experience (essential)
- Knowledge of Active Directory and Group Policies
- Basic understanding of network protocols (TCP/IP, DNS, DHCP, VPN)
- Experience troubleshooting hardware and software issues on tablets and laptops
- Proficiency in Microsoft Windows operating systems
- Proficiency in English and Afrikaans
- Strong knowledge of Microsoft Office products (Office 365, Outlook, SharePoint, OneDrive, Teams)
- Experience with tablets, laptops, and printers
- Good understanding of systems and network security
- Strong interpersonal and communication skills
- Ability to manage time effectively and work under pressure
