Job Summary:
The Executive Assistant to the CEO will provide comprehensive administrative support within our dynamic health and personal care manufacturing company, which employs over 150 staff and includes a team of 8 executives. The ideal candidate will demonstrate exceptional organisational skills, professionalism, and discretion while managing the CEO's calendar and facilitating effective communication across departments and with external stakeholders.
Key Responsibilities:
Calendar Management: Efficiently manage the CEO's calendar by scheduling appointments, meetings, and travel arrangements while coordinating logistics and preparing necessary materials.
Communication Liaison: Act as the primary point of contact between the CEO and various departments, clients, and stakeholders, ensuring timely and professional communication.
Documentation & Reporting: Prepare, edit, and proofread correspondence, reports, presentations, and other documents for both internal and external stakeholders, ensuring accuracy and professionalism at all times.
Meeting Coordination: Organise and coordinate meetings for the CEO, including setting agendas, taking minutes, and tracking follow-up actions to ensure accountability and productivity.
Office Management: Oversee office operations as needed, including ordering supplies and maintaining office equipment, to ensure a smooth operating environment.
Project Support: Assist in managing special projects and initiatives by tracking deadlines, deliverables, and providing regular updates to stakeholders.
Confidential Information Management: Handle sensitive information with the utmost discretion and professionalism, maintaining strict confidentiality.
Strategic Support: Collaborate with the executive team in the development and implementation of strategic goals aligned with company objectives.
Operational Efficiency: Identify and recommend process improvements to enhance operational effectiveness across the organisation.
Cross-Departmental Coordination: Facilitate effective communication and collaboration among various departments, ensuring alignment with the organisation’s strategic priorities.
Performance Tracking: Develop and maintain performance metrics to assess progress towards goals, offering insights and recommendations where necessary.
Board and Executive Meeting Preparation: Organise and prepare for board meetings and executive retreats, ensuring all necessary materials are ready and follow-up items are addressed.
Talent and Team Development: Support initiatives related to talent management and team development, contributing to a positive organisational culture.
Documentation Management: Maintain comprehensive and organised documentation related to projects, meetings, and administrative tasks to ensure easy accessibility.
Budget Assistance: Assist with tracking project budgets and expenses, contributing to effective financial management and resource allocation.

Candidate Requirements
Qualifications:Education: Management, or a related field (preferred).
Experience: Proven experience as an executive assistant or in a similar support role, ideally within a manufacturing or corporate environment.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management software (e.g., Trello, Asana).
Organisational Skills: Strong organisational and multitasking abilities, with a keen attention to detail and the capacity to prioritise effectively under tight deadlines.
Communication Skills: Excellent written and verbal communication skills, with the ability to interact confidently with executives, staff, and external partners.
Problem-Solving Ability: Demonstrated analytical and problem-solving skills, with a proactive approach to addressing challenges.
