- Daily bookings of trucks to be loaded at the various loading points
- Communicating and coordinating with drivers on loading dates, locations, commodities (own drivers and outsourced transport brokers)
- Managing balance volumes on contracts ensuring that trucks are allocated to the various loading points within the tonnages left on the contracts
- Capturing loading data per contract to ensure traceability of truck and tonnage per contract
- Invoicing of all loads
- Coordinating border clearance of all invoices prior to arrival at the border and managing the different tests/inspections that is required per commodity
- Capturing all costs related to invoicing and keeping a running sheet to show sales vs costs
- Applying for all inspections to be done at loading silos prior to loading and arranging loading slots prior to loading
- Capturing payments to suppliers per purchase order and ensuring all final tax invoices are received from suppliers matching payments made
- Send weekly sales to bookkeeper to keep statements up to date
- Liaise with cross-border customers on order requirements and obtain quotes from SA suppliers and do pro forma invoice to customer for acceptance; coordinate the order commencement with SA suppliers
- Weekly and monthly reporting of all grain loads (SAGIS)
- Keep track of ad hoc expenses and make sure it is recouped on outgoing invoices
- Ensure all necessary permits are kept up to date in terms of expiry date and remaining tonnage on the permit
- Truck and trailer registrations on silo’s internal website to ensure valid registrations and license discs are loaded on the silo system
- Obtaining information with regards to new products on inquiry for export and getting the relevant information with regards to duty %, required inspections etc
- Keeping on top of when next repeat orders are required to ensure constant supply of product to customer
- Courier sending and collection of necessary documents, samples etc as and when needed
- Tertiary qualification (Business, Administration, Logistics, Accounting)
- Fully bilingual
- Valid license and own transport
