Job Description:
My client is looking for a motivated and dynamic individual to join their team as a Client-Facing Administrator & Receptionist for their client specializing in immigration services. The ideal candidate should possess excellent communication skills in both written and verbal English, showcase a friendly personality, maintain a well-dressed and presentable appearance, and be enthusiastic about learning in a legal environment. The primary responsibilities will include client communication, administrative tasks, and providing support in visa applications.
Key Responsibilities:
- Act as the first point of contact for clients, providing exceptional service via phone and email.
- Address client inquiries and concerns professionally and efficiently.
- Demonstrate strong written and verbal communication skills in English.
- Prepare and edit written communications, ensuring clarity and professionalism.
- Assist in day-to-day administrative tasks to ensure the smooth operation of the office.
- Maintain organized records and files for easy accessibility.
- Display a keen interest in learning and understanding legal processes.
- Collaborate with legal professionals to gain insights into the legal field.
- Demonstrate exceptional organizational skills in managing tasks and responsibilities.
- Prioritize and coordinate multiple activities to meet deadlines.
- Utilize Microsoft Excel for basic data entry and reporting.
- Generate reports and maintain data accuracy.
- Provide support in the preparation and submission of visa applications across various categories.
- Ensure compliance with relevant regulations and guidelines.
Candidate Requirements
Qualifications:
- Bachelor’s degree in a related field is preferred but not essential for candidates with significant relevant experience.
- 2-3 years of prior experience in a client-facing or administrative role is expected.
- Proficiency in Microsoft Office applications, particularly Excel (basic data entry and intermediate reporting skills beneficial but not mandatory).
