Job Purpose
To support the Building Manager in ensuring the efficient operation, safety, and maintenance of the building. To further assist in day-to-day operations, addressing tenant needs, coordinating repairs and maintenance, and maintaining a high level of tenant satisfaction.
Responsibilities:
Tenant Relations and Coordination:
- Serve as the primary point of contact for tenant inquiries and requests.
- Facilitate smooth move-ins and move-outs, including scheduling inspections for vacant units.
Maintenance and Operations Management:
- Address tenant maintenance issues promptly and efficiently, ensuring timely credit control and letting matters.
- Monitor the building’s operational systems, including lifts, fire safety equipment, pumps, and generators, ensuring they function correctly.
Emergency Response:
- Assess building emergencies, implement appropriate action plans, notify relevant management, and communicate effectively with tenants while managing administrative follow-up.
Building Management:
- Conduct regular inspections to identify maintenance needs or safety hazards.
- Oversee the management of the building, staff, and contractors to ensure efficient operations.
- Manage the Biometric access system, ensuring accurate tenant uploads and restricting access as necessary per unit.
Communication and Compliance:
- Relay important information to tenants, ensuring compliance with lease agreements and addressing any concerns or issues promptly.
Tenant Engagement and Marketing:
- Conduct viewings for potential tenants and implement marketing strategies to maintain optimal tenancy levels
Candidate Requirements
Preferred Qualification and Experience
- Relevant qualifications in property management, real estate, or related field
- Proven experience in tenant relations, building operations, or facilities management
- Communication - strong verbal and written communication skills
- Customer service-oriented, with the ability to handle complaints and requests effectively
- Problem Solving - proactive in identifying potential issues and implementing solutions
- Ability to respond effectively to emergencies or unexpected maintenance problems
- Ability to supervise maintenance staff and coordinate with contractors
- Assist the Building Manager in decision-making and operational strategies
- Accountability - take ownership of one’s actions, decisions, and/or tasks
