About:
We are a dynamic linen manufacturing company located in Kya Sands, comprising 23 dedicated employees. We are currently seeking a well-presented individual to join our team in the role of Office Administrator.
Job Summary:
The Office Administrator will provide comprehensive administrative support to the team, focusing on quoting, invoicing, record keeping & general office duties. Mature and responsible person, as accuracy and attention to detail are paramount. Needs to be able to follow company procedures, handle pressure and adapt as necessary.
Quoting:
- Prepare and issue quotes for clients based on requests and specifications.
- Maintain an organized database of quotes and follow up on outstanding quotations.
Invoicing:
- Generate and send invoices to clients in a timely manner.
- Ensure accuracy of invoices, including pricing and terms.
- Monitor and manage accounts receivable, following up on overdue invoices.
Stock Maintenance:
- Conduct regular stock checks and maintain accurate records of inventory levels.
- Assist with the implementation of efficient stock control processes.
General Administration:
- Provide administrative support to team members as needed, including -but not limited to- assissting internal sales, taking and delegating calls, liaising with suppliers.
- Maintain filing systems, both electronic and physical.
- Assist with scheduling appointments and meetings when necessary.
- Ensure website orders are processed and completed in a timely manner.
Customer Service:
- Respond to customer inquiries and provide support regarding quotes and invoices.
- Develop and maintain positive relationships with clients and suppliers.
Candidate Requirements
- ITC Clearance.
- Basic Bookkeeping skills essential.
- High School diploma or equivalent; relevant administrative certification is a plus.
- Proficient in Microsoft Office Suite.
- Experience with Sage Accounting Software is required.
- Minimum 3 years’ experience in an administrative or similar role; experience in linen/textiles or retail sectors beneficial.
- Strong attention to detail and ability to prioritise tasks effectively.
- Excellent written and verbal communication skills, English required, additional languages a plus.
- Strong interpersonal skills with a focus on customer satisfaction and relationship building.
- Working Hours - 07:00 to 16:00 (Mon-Thur) & 07:00 to 15:00 (Friday)
