Kantooradministrateur
'n Gerespekteerde regsfirma is op soek na 'n toegewydde en detail-georiënteerde Kantooradministrateur. Hierdie posisie speel 'n sleutelrol in die gladde funksionering van die kantoor deur die hantering van ontvangsdienste, tikwerk en administratiewe ondersteuning vir prokureurs. Werksure: 07h30 – 16h30 (Maandag tot Vrydag)
Salaris: R10,000 (bruto)
Hoofverantwoordelikhede:
- Ontvangsdienste:
- Skeduleer konsultasies en vergaderings vir prokureurs.
- Bestuur prokureurs se kalenders en dagboeke.
- Hanteer inkomende en uitgaande telefoonoproepe en neem boodskappe.
- Skryf en antwoord e-posse professioneel.
- Verwelkom kliënte en gaste by die kantoor.
- Verseker dat kliënte mandates onderteken en FICA-vereistes voltooi, met dokumente wat behoorlik geliasseer en elektronies gestoor word.
- Tikwerk:
- Berei verskeie regsdokumente en administratiewe dokumente voor vir prokureurs, insluitend e-posse, briewe, kennisgewings, pleitstukke, vergaderingnotules, kontrakte, en meer.
- Tik dokumente vanaf Dictaphone-opnames, mondelinge instruksies, of handgeskrewe aantekeninge met akkuraatheid.
- Kantoorassistent Verantwoordelikhede:
- Liasseer en organiseer dokumente en kantoorpapierwerk.
- Hou kliëntelêers netjies en op datum.
- Koördineer met die boekhouer om te verseker dat rekeninge opgestel en aan kliënte gestuur word.
- Volg betalings van rekeninge op.
- Bestuur kantoorvoorraad en verseker dat die kantoor voldoende voorraad het van benodigdhede soos skryfbehoeftes.
Minimum Kwalifikasies:
- Voltooiing van Graad 12.
- Minimum van 2 jaar werkservaring in 'n soortgelyke rol.
- Vaardigheid in beide Engels en Afrikaans, met sterk grammatika, telefoonetiket, en kommunikasievaardighede.
Vereiste Vaardighede:
- Vermoë om akkuraat te tik teen 40 woorde per minuut.
- Vaardigheid in Microsoft Word en Excel.
- Uitstekende leesvaardighede en aandag aan detail.
- Sterk organisatoriese vaardighede en die vermoë om verskeie take in 'n vinnige omgewing te hanteer.

Office Administrator
A reputable legal firm is seeking a dedicated and detail-oriented Office Administrator. This position plays a crucial role in ensuring the smooth operation of the office by handling receptionist duties, typing tasks, and administrative support for attorneys. They are looking for a dynamic individual who can manage multiple responsibilities effectively and professionally.
Location: Faerie Glen, Pretoria
Working Hours: 07h30 – 16h30 (Monday to Friday)
Salary: R10,000 (gross)
Key Responsibilities:
- Receptionist Duties:
- Schedule consultations and meetings for attorneys.
- Manage attorneys' calendars and diaries.
- Handle incoming and outgoing telephone calls and take messages.
- Draft and respond to emails professionally.
- Welcome clients and guests to the office.
- Ensure clients sign mandates and complete FICA requirements, with documents properly filed and saved electronically.
- Typing:
- Prepare various legal and administrative documents for attorneys, including emails, letters, notices, pleadings, meeting minutes, contracts, and more.
- Type documents from Dictaphone recordings, verbal instructions, or handwritten notes with accuracy.
- Office Assistant Duties:
- File and organize documents and office paperwork.
- Keep client files neat and up-to-date.
- Coordinate with the bookkeeper to ensure billing and accounts are drafted and sent to clients.
- Follow up on payments of accounts.
- Manage office supplies and ensure the office is well-stocked with stationery and other essentials.
Minimum Qualifications:
- Completion of Grade 12.
- Minimum of 2 years of working experience in a similar role.
- Proficiency in both English and Afrikaans, with strong grammar, telephone etiquette, and communication skills.
Required Skills:
- Ability to type accurately at 40 words per minute.
- Proficiency in Microsoft Word and Excel.
- Excellent reading skills and attention to detail.
- Strong organizational skills and the ability to multitask in a fast-paced environment.
