Icon Oncology is seeking an Office Administrator who will be responsible for ensuring the smooth day-to-day operation of Icon Oncology's Head Office. This role involves managing administrative tasks, handling client and visitor interactions, and supporting various departments with clerical and secretarial duties. The Office Administrator will contribute to creating a professional environment and will be the first point of contact for visitors, clients, and staff, ensuring a positive experience for all.
Key Responsibilities:
• Administrative and Clerical Management
Oversee daily office operations, including managing access control, clerical tasks (switchboard, courier, post, boardroom bookings), travel arrangements, office records, and coordinating with facilities for a well-maintained environment, while preparing and distributing office communications
• Secretarial Support
Assist with diary management, meeting coordination when catering is required for BOD's, and social event organization, while handling confidential information with professionalism.
• Client and Visitor Interaction
Serve as the first point of contact for clients and visitors, providing a professional welcome, managing the reception area, addressing inquiries promptly, and coordinating visitor logistics for smooth access.
• Support to Clinical and Legal Departments
Provide administrative support to the clinical team and Head of Clinical by distributing agendas, taking meeting minutes, handling clerical tasks related to clinical operations, and performing minor legal administrative duties for the Head of Legal.
• General Office Management
Monitor and maintain office supply inventory, coordinate with IT for equipment functionality, and assist with onboarding and workstation setup for new employees.
Candidate Requirements
Qualifications and Experience:
• Education: Grade 12; Business Administration NQF Level 4 or equivalent (preferable).
• Experience: 3-5 years of experience in a similar role, preferably in a medical reception or within a medical practice/scheme environment.
• Skills Required:
Possessing excellent verbal and written communication skills, strong organizational and multitasking abilities, proficiency in Microsoft Office Suite, confidentiality in handling sensitive information, familiarity with clinical and legal terminology, and a customer service-oriented, professional demeanor, with the ability to work both independently and collaboratively.

Demonstrating a high level of integrity, reliability, professionalism, strong interpersonal skills, attention to detail, and the ability to remain calm under pressure while handling challenging situations.
