Employer: West Coast Personnel
- Manage the MD’s calendar and correspondence.
- Prepare reports and maintain office systems (data management, equipment, filing).
- Proficiency in Word, Excel, and PowerPoint is essential.
- Property Management:
- Oversee utility accounts, maintenance, insurance, and lease agreements.
- Vehicle Management:
- Arrange repairs, services, insurance, and purchases for company vehicles.
- Event Planning:
- Organize corporate events, including guest management and venue arrangements.
- Travel Management:
- Book flights, hotels, and visas for corporate and personal travel, ensuring all documentation is accurate.
- Personal Duties:
- Assist with household staff management, appointments, errands, and personal shipments for the MD.
- General Administration:
- Oversee reception staff and equipment repairs, and coordinate client gifts.
- Daily Duties:
- Manage personal schedules and check maintenance tasks related to vehicles and property.
- Travel Requirements:
- Occasional international travel for global conferences (7-14 days).
- Local travel for game lodge preparations and sponsored events.
- Airbnb Management:
- Manage international properties, including issuing access codes and handling bills, with potential after-hours attention required.
- Education: Bachelor’s degree in Business Administration, Management, or a related field.
- Experience: Minimum of 5 years in an executive assistant or similar role, preferably supporting senior management.
- Skills:
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience with property and vehicle management is a plus.
- Personal Attributes:
- Proactive, adaptable, and able to manage multiple tasks effectively.
- Professional appearance and demeanor.
- Strong interpersonal skills, capable of engaging with diverse personalities.
- Ideally aged 30-40, but mature candidates outside this range will be considered.
- Must have a reliable support system if children are involved due to potential travel commitments.
