JOB PURPOSE
To maintain accurate and up to date data of all profiles within the database. Support business in being able to target contact and service, all customers.
RESPONSIBILITIES
- DATA MANAGEMENT
- Manage ongoing Data integrity projects
- Responsible for implementing the approved Data-Policies and procedures
- Monitor ongoing adherence and address issues of non-compliance with manager.
- Data cleansing: tackling the errors within the database, ensuring anomalies are automatically located and removed
- REPORTING
- Run monthly status change reports and submit data for reconciliation.
- Run, review and report on tax practitioner registrations and de-registrations.
- Report on SAQA submissions; Report on IRBA data sharing and reconciliations and general membership stats
- DATA CAPTURING
- Add new profiles to the database according to business rules.
- Receive changes to member, associate and non-member (including company) information from various departments within the Secretariat, as well as from external sources (e.g. IRBA, companies, etc.) and update the database accordingly. (All changes except those that involve a written declaration or are financial in nature or affect financial information).
- Receive Evaluations forms from seminars, events and workshops held and update data base accordingly. Scan and save all forms.
- Receive changes/amendments to postal codes from IT department (biannually).
- Save all correspondence in accordance with policies and procedures.
- Liaise directly with members regarding changes/amendments to their personal membership information.
- FINANCIAL/ STATUS CHANGES
- Receive status changes requests from contact centre, website, directly from members or any other sources.
- Verify dates and adjust fees accordingly.
- Process status changes after approval and forward for financial processing.
- Confirm change with member, forward invoice & save all correspondence.
- Receive, check and post financial batches from membership unit.
- Tax Practitioner Registrations and De-registrations
- Processing of tax practitioner applications in line with company policies and procedures.
- Processing of tax practitioner de-registrations per company policies and procedures.
- SUPPORT SERVICE
- Assist the membership unit with the updating of membership types during the annual billing run/strike off process
- Assist membership unit with following up on unidentified new member deposits.
- Assist finance with unpaid subscriptions fee collections
- Administration of services to other business units
- Tax practitioner administration
- BRP Administration
- Member verifications for ad-hoc projects
- Receive all filing for the department relevant to membership.
- Assist the membership department as and when required
- CUSTOMER SERVICE
- To treat members, associates, trainees and non-members contacting the Institute with a professional approach. Treat all member details/information as confidential.
- To be service orientated in dealings with staff members, regional structures/societies and members.
- To have sufficient knowledge of all the departments within the Secretariat to correctly refer queries to the relevant departments/employees to assist them with their queries.
- Ensure that all queries are handled and resolved professionally, efficiently and within the agreed turn-around time
Candidate Requirements
Qualification
- Business admin/ Office Administration qualification
Experience
- Minimum of 2 Years` experience in a data maintenance
- Customer service exposure, dealing with telephonic & written queries.
- Project administration skills would be advantageous
