Curico Area – Chile: Our client is looking for an Additional Manager of Operations to join the team.
MINIMUM REQUIREMENTS
KEY RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:
- Proven experience of 10 years in supply chain management, logistics, or a related field.
- Strong leadership and team management skills.
- Excellent organizational and multitasking abilities.
- Knowledge of export documentation and compliance requirements.
- Ability to communicate effectively and manage relationships with vendors and stakeholders.
- Proficiency in relevant software and tools for inventory management and documentation.
- Flexibility to handle emergencies and adapt to changing situations.
- Knowledge of Spanish
KEY RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:
- Leadership and Team Management
- Distribute tasks among junior staff based on their skills and capacities.
- Ensure the quality of work performed by junior staff, making corrections as needed.
- Forecast staffing requirements and prepare hiring proposals, including shortlisted candidates, resumes, and recommended salaries or consultancy fees.
- Supply Chain and Vendor Management
- Manage the complete supply chain process, including export documentation and vendor negotiations.
- Obtain cost approvals and formalize agreements with vendors.
- Conduct comparative studies of quotations from multiple vendors and submit recommendations.
- Documentation and Compliance
- Review and submit shipment-related documents (e.g., Certificates of Origin, DUS, Phyto certificates, Non-GMO certificates, invoices) in a timely manner.
- Maintain detailed logs of fruit dispatch and reception at processing/packing plants and submit regular reports to headquarters.
- Keep a list of certifications required for various export destinations and ensure compliance with all necessary documentation and quality standards.
- Regularly submit Quality Control reports from the Pack-house to headquarters.
- Inventory and Production Management
- Oversee the account of fruit received, processed, stored, and dispatched, including category and grade documentation.
- Prepare and submit shipment summaries and quantitative reconciliations to headquarters.
- Monitor and reconcile raw materials, packing materials, and other supplies, raising purchase orders as needed to prevent delays.
- Management of Fruit for Global Sales
- Ensure fruit is classified properly for global markets and meet stringent regulations regarding MRLs, certifications, and pesticide use.
- Collaborate with procurement, agronomist, and QC teams, and conduct field visits as necessary.
- Ensure all certifications, tests, and documentation are complete before shipments.
- Emergency Management
- Be accessible for handling emergency or critical business situations to ensure continuity of operations.
- Maintain a list of emergency contacts related to shipping, customs, and logistics.
- Communication and Documentation
- Document all commitments with financial and statutory implications in writing.
- Follow up on verbal agreements with email confirmations to relevant parties, including headquarters.
- Packaging and Quality Control
- Assess and coordinate the procurement of packaging materials based on business needs.
- Oversee fruit inspections at packhouses and monitor technical standards of storage and machinery.
- Submit regular reports on storage and handling standards to headquarters.
- Accounts and Financial Management
- Update accounts for growers to ensure timely payments and process refunds or adjustments promptly.
- Coordinate with the accounting department to issue invoices and follow up to maintain good cash flow.
- Sales and Business Planning
- Support export sales planning and business planning for internal and external customers.
- Ensure accurate documentation for exports to various overseas markets and customers.
- Contract Management
- Use standard draft contracts provided by headquarters for agreements with growers, pack-houses, sales, and services.
- Obtain approval from headquarters for any changes to contracts before finalizing with other parties.
- Headquarters Supervision
- Escort officers from headquarters during their visits to the office, facilitating their business activities as required.
