We are seeking a highly organized and proactive Administrative Clerk/Executive Assistant to support our Operations Manager. The ideal candidate will be responsible for managing a variety of administrative and operational tasks, ensuring the smooth functioning of daily activities. This role requires a dynamic individual with excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:

Appointment Management:
- Schedule and coordinate meetings, appointments, and events for the Operations Manager and other team members.
- Manage and maintain calendars, ensuring all commitments are met in a timely manner.

Administrative Support:
- Perform general administrative duties including filing, data entry, and document management.
- Prepare, proofread, and edit documents, reports, and presentations.
- Handle correspondence, emails, and phone calls, ensuring timely responses and follow-ups.

Client and Partner Liaison:
- Serve as the primary point of contact between the Operations Manager, clients, and business partners.
- Maintain positive relationships with clients, ensuring their needs and expectations are met.

Travel Coordination:
- Book travel arrangements, accommodations, and itineraries for surveyors and other team members.
- Ensure all travel-related documentation is accurate and up to date.

Marketing Assistance:
- Support marketing efforts by assisting with the creation and distribution of promotional materials.
- Help manage social media accounts and update the company website as needed.

Monthly Reporting:
- Compile, analyze, and prepare monthly reports on operational activities.
- Assist in tracking key performance indicators and other metrics as required.

Other Duties:
- Perform other administrative tasks as assigned by the Operations Manager.
- Provide support to other team members as needed to ensure the smooth running of the office.
Candidate Requirements
- Proven experience as an administrative assistant, executive assistant, or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with other office management tools.
- Strong organizational skills with a keen eye for detail.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Prior experience in risk management or a related industry is a plus.
Education:
- High School Diploma or equivalent required; additional qualifications in office administration or related field preferred.
