Our client, a leading provider of industrial ventilation and filtration solutions, is looking for a well-versed Office Administrator to join their team to manage their front desk and perform a variety of administrative and clerical tasks.
The ideal candidate will be comfortable interacting with the public, organized, and capable of managing multiple responsibilities efficiently. Experience with accounting software such as Sage, SAP and COUPA and administrative systems is highly desirable.
Minimum Requirements:
Proficiency in SAGE Pastel Evolution, Excel, Word, and SAP (Ariba)
Experience with COUPA
Strong organizational and multitasking skills
Excellent communication and interpersonal skills
Familiarity with petty cash management and credit card machine operations
Prior experience in accounts and understanding of cash book management is advantageous
Duties and Responsibilities:
Answer and direct calls, take messages
Manage petty cash, including reconciling and updating Sage Evolution with payments and receipts
Daily petty cash cashing up
Handle credit card machine transactions and update related records in the CashBook
Maintain and update wage and salary leave forms, monthly leave registers, and sick leave registers
Open and maintain employee files, distribute payslips, and obtain signatures from employees
Order and control stationery supplies
Handle car license renewals and manage company car driver’s license schedule
Update Stannic Report on Excel monthly
Reconcile accounts for Seriti, Glencore, and Sasol, follow up on unpaid invoices
Monitor and respond to important emails
Submit invoices on SAP and COUPA
File all signed invoices, delivery notes, credit notes, and leave forms; scan documents as needed
Perform ad hoc administrative tasks as assigned
