Employer: National Risk Managers ( Affinity Health)
We are currently looking to fill the role of an Executive Assistant to provide hands on administrative support and assistance to executive staff.
Tasks:
Communicate with and provide support to the Executive Department:
• Manage executives’ calendars and set up meetings
• Manage and maintain executives' schedules, appointments and travel arrangements
• Gather documents to prepare for meetings
• Keep the executive’s communications organized for easy access
• Support the Executive on Board Preparation
• Write reports for the Executive
• Support the Executive on Project Coordination
• Write itineraries and arrange for transportation.
• Communicate on behalf of the executive
Plan, organise and control the Executive's Department Activities:
• Manage information flow in a timely and accurate manner
• Monitor, screen, respond to and distribute incoming communications
• Arrange and co-ordinate meetings and events, confirm appointments
• Manage the schedules and communications of key company executives.
• Receive and interact with incoming visitors
• Liaise with internal staff at all levels
• Interact with external clients
• Co-ordinate project-based work
• Provide high-level administrative support for company leaders
• Review operating practices and implement improvements where necessary
• Approve purchase orders per Level of Authority
• Approve purchases per Level of Authority
• Conduct research, collect, collate and analyse data to prepare reports and documents
Perform General Administration Duties, Including Reporting:
• Act as the point of contact among executives, employees, clients and other external partners
• Answer and manage incoming calls
• Prioritise emails and phone calls,
• Prepare and edit correspondence, communications, presentations and other documents
• File and retrieve documents and reference materials
• Record, transcribe and distribute minutes of meetings
• Screen all visitors and determine what level of support they need
• Filter and prioritise client visits or phone calls
• Coordinate travel arrangements
• Train other administrative staff on company policies and best practices.
Maintain Staff Satisfaction:
· Order company stationary
· Maintain staff safety
· Regulate pest control
· Regulate the cleaning of carpets and fumigations
· Regulate the cleaning of workstations by office cleaners

Candidate Requirements
Essential Qualifications:
• Matric
• Project Management qualification/Business Administration qualification
Essential Experience:
• 3 years’ experience in a similar role

• Numeracy skills
