General Manager Job Description and Responsibilities
The Estate is looking for an individual who is innovative with a hands-on approach and proven management skills across all aspects of estate management, golf club operations and food and beverage operations.
The role will include responsibility for:
· Directs and co-ordinates strategic activities on the estate:
o Drives the PHOA strategy – develops annual business plans and budgets in support of the long-term strategy adopted by the Board.
o Ensures that the day-to-day business affairs are monitored and managed effectively.
o Ensures timeous feedback on all home-owner queries.
o Ensures continuous improvement in the quality and value of the estate’s services and maintenance of its competitive position.
o Ensures an effective management team.
· Focus on profit generating and cashflow positive operations for the business
· Oversee the management and performance of all staff operations and services; assure high standards and customer satisfaction
· Monthly Reporting to the Board of Directors
· Monthly reporting the Committee Chairpersons’
· Schedules and chairs regular staff meetings focused on customers, operations, revenue growth, cost containment and continuous improvement
· Responsible for overseeing the food and beverage department with the F&B manager
· Responsible for overseeing the golf operations with the golf operations manager
· Responsible for overseeing the technical and environmental operations with the operations manager
· Development of marketing strategies and implementation thereof, oversee marketing initiatives including all promotional materials, play recruitment, yield management, golf packages, and outside events plus the promotion of new golf and Boat Club memberships
· Meet, greet, and welcome prospective Customers/Patrons/Members and Estate Agents
· Establish sales goals and forecasts for all programs and services; generate, monitor and analyse reports
· Maintain a close working relationship with the departmental heads
· Ultimately responsible for the well-being of the company's positive financial growth and stability
· Financial control:
o Overseeing the finance function
o Ensures that SLA are consistently met & takes appropriate action if not met.
o Supplies Board / HOA Directors with accurate budgetary requirements on an annual basis
o Manages/control budget daily – ensures spending falls within budget.
o Generates innovative ideas to optimize revenue and get value for operating costs.
o Increase the PHOA’s Reserve Fund Annually
o Debtors’ management
· Cost control:
o Effectively controls all operational expenses – ensures that costs do not exceed budget
o Controls consumable expenses – ensures no misuse of consumables and that budget is not exceeded
o Reviews project costs to ensure effective use of funds available for projects
o Implements cost-saving measures
o Manages procurement to ensure that budgetary requirements are met
o Checks and final authorise invoices for all departments
o Follows up on and resolves non-payment queries
· Oversees the implementation of estate rules, policies & procedures – reviews the Estate Rules on a continuous basis to ensure standards are maintained, and compliance with health and safety regulations
· Liaises with legal advisors when necessary

· Human resource management and development
o Staff complement does not exceed number budgeted for
o Staff turnover does not exceed % per annum
o Staff training and development plans are up to date and achieved
o Implementing and monitoring a performance management system and process
o Performance appraisals
o Performance development discussions are conducted where necessary between formal quarterly performance appraisal
o Succession plans are up-to-date
o Industrial relations incidents, i.e. grievances, disciplinary actions, are handled timeously and effectively without further recourse
o BEE initiatives
· Policy and process management
o Develops and/or revises standard operational and working practices and observes managers to ensure compliance with legislation, best practice, standards and procedures
o Develops and/or revises management and business reporting systems
· Project management / special projects
o Develops project plans
o Co-ordinates projects
o Communicates changes and progress to relevant parties
o Completes projects on time and within budget
o Manages project team activities
o Plans staffing requirements
o Defines responsibilities and expectations and sets goals and objectives
· Service Level Agreement / Service Provider Management
In all of the above, the General Manager must create an environment where the staff are involved and enthusiastic in working towards the common goal of a well-managed operation which values open communication and a high degree of respect for one another.
The successful candidate will demonstrate the following:
Required Skills
- General Manager: 5 to 6 years
- Corporate Management: 5 to 6 years
- Finance Operations: 5 to 6 years
Candidate Requirements
- Computer skills.
- Bachelor’s degree (or equivalent) in business management or related field
- Experience in conducting performance evaluations
Advantageous Knowledge, Skills and Experience:
· At least 5-10 years in a similar environment at a similar level preferably with golf estate experience and Corporate Management
Working knowledge of human-resources processes
