JOB PURPOSE:
Optimal and effective role is fulfilled within the HR department – Human Resources (HR) administrator is responsible for managing every aspect of the employment process, including orientation, and training new staff members and assisting with payroll management. To ensure that the HR functions is executed professionally thus providing effective support for the achievement of the overall business strategy within the HR team. Supporting company culture and applying learnt techniques and skills within the organisation

Candidate Requirements
DUTIES AND RESPONSIBILITIES OF THE POST / PRINCIPAL AREAS OF ACCOUNTABILITY
1. Recruitment
1.1 Conduct sourcing activities in order to fill open positions in accordance with company
employment
1.2 Equity targets
1.3 Perform analysis of organisational development and headcount budget to anticipate future
recruitment needs.
1.4 Conduct salary benchmarking activities in support of organisational development initiatives.
1.5 Implement recruitment system to build talent pipeline.
1.6 Establish a strong network with recruitment agencies to attract talent.
1.7 Negotiation of recruitment fees and sign SLAs with recruitment agencies
1.8 Provide guidance to hiring managers in drafting job descriptions, preparing, and updating job
descriptions.
1.9 Serve as brand ambassador at various events, like career fairs or on-campus recruiting events.
1.10 Manage special recruitment projects such as Internship and temporary appointments.
1.11 Partner with hiring managers and employment agencies in coordinating interviews
1.12 Participate in selected interview processes and make recommendations to hiring managers.
1.13 Perform reference and background checks.
1.14 Counsel candidates on corporate benefits, salary, and corporate environment
1.15 Coordinate candidate assessments for identified roles.
1.16 Compile and issue job offers and contracts of employment.
1.17 Administer and submit all hiring paperwork for new employees.
1.18 Create monthly reports on recruitment updates and key talent acquisition metrics.
1.19 Communicate regularly with HR manager to get a clear view of company’s hiring needs and
organisational goals.
1.20 Proactively seek market intelligence to gain competitive advantage in attraction, assessment,
and sourcing methodologies
1.21 Suggest new ideas for improving talent acquisition activities.
1.22 Secure and create Job Description details as per department specifications and work
requirements.
1.23 Oversees and source possible candidates and contacts them for pre-screening and validation of
information.
1.24 Maintain the company’s organisation structure charts.
1.25 Track the recruitment process for each vacancy.
1.26 Role design, competency mapping and grading of roles.
1.27 Management of employee relationships
1.28 Effective and well worded company-employee communication Disciplinary process: Conducting
counselling, issue warnings, handle grievance processes, work performance interviews, exit interviews and initiate/chair disciplinary enquiries.
1.29 Administration and filing:
1.30 Keep all staff files up to date, managing , maintain service providers terms & conditions
1.31 Capturing and paying all invoices on SYSPRO.
1.32 Company policies and procedures: Keep all manuals up to date through monthly revision,
reconciliation of all departmental procedures and documentation.
1.33 Training and training programs:
1.34 Manage all training in the company, Introduce learner ships, Develop training programmes and
Talent management.
1.35 CCMA:
Representing company at the CCMA trough conciliation and arbitration, Consult with labour specialists, Preparation and representation of company interests
1.36 Payroll:
Capturing and checking payroll monthly and keeping payroll records on Premier HR and VIP
Handling payroll queries
Administering employee benefits and calculations
Administering ESS
Annual submissions of IRP5’s and Return of Earnings
Dealing with all claims
Assisting with garnishees and tracking them
Capturing time and attendance on Beyond Attendance
1.37 Seta And Equity Submissions:
Yearly & Quarterly submission and Employment Equity plan.
1.38 Time and attendance:
Reporting (Daily, Weekly, Monthly), Bi-annual reporting of SARS-PAYE,
SDL,
UIF Employers recon (IRP5/IT3 Certificates)
1.39 Communication:
Daily communication with Directors and management team,
Apply ‘open door’ policy,
Understand company expectations,
Drive Culture building processes and techniques
Promote honesty, integrity, cooperation, teamwork, work place harmony, respect and individual advancement through motivation and positive encouragement
Provide support within all audits and the finance team.

2. Qualifications
Matric
HR background
B-tech Degree in Human Resources Management
National Diploma in Human Resources Management
F.E.T College – N4, N5, N6 in Human Resources Management
Certificate in Conflict Management
3. Experience
HR experience above 3 years, in similar role and actively able to perform full HR process.
