The Workshop Administrator is responsible for overseeing administrative tasks related to workshop operations, ensuring seamless coordination between different departments, and maintaining accurate records of maintenance and repair activities.

Candidate Requirements
Key Responsibilities:
1. Workshop Coordination:
- Coordinate with workshop foreman and technicians to schedule maintenance, repairs, and servicing of forklifts.
- Ensure that all workshop activities are conducted in accordance with safety regulations and company policies.
- Monitor workshop productivity and efficiency, identifying areas for improvement and implementing solutions.
2. Administrative Duties:
- Maintain accurate records of asset inventory awaiting repairs, Work in Progress and completed repairs, including serial numbers, maintenance history, and repair documentation.
- Process work orders, purchase orders, and invoices related to workshop operations.
- Assist in the procurement of supplies necessary for forklift maintenance and repair.
3. Customer Communication:
- Serve as a point of contact for all departments regarding maintenance schedules, service requests, and repair updates.
- Communicate effectively with all departments to ensure their needs are met and issues are addressed promptly.
4. Inventory Management:
- Monitor inventory of spare parts ensuring that all ordered parts are utilized and consumables inventory levels are kept sufficient. Place orders as needed to maintain adequate stock levels.
- Conduct regular inventory audits to reconcile physical inventory with records and identify discrepancies.
5. Quality Assurance:
- Implement quality control procedures to ensure that all forklifts meet safety and performance standards before being rented out to customers.
- Conduct regular inspections of forklifts to identify maintenance needs and proactively address potential issues.
6. Documentation and Reporting:
- Prepare reports detailing workshop activities, including maintenance schedules, repair expenses, and equipment downtime.
- Maintain accurate documentation of warranty claims, service agreements, and other relevant paperwork.
7. Team Collaboration:
- Collaborate with workshop foreman, technicians, and other departments to streamline workflow processes and improve overall efficiency.
- Provide support and assistance to workshop staff as needed to ensure timely completion of tasks.
