Are you a detail-oriented finance professional with a passion for high-end furniture design? OKHA Interiors, an international contemporary high-end furniture retailer, is seeking a Project Administrator to provide high-level financial administrative support to our Project Managers.
The primary function of this role is to support the Project Managers of OKHA Interiors by handling financial administration tasks, ensuring projects are managed efficiently from quoting to delivery.
KEY RESPONSIBILITIES
Project Manager Support:
- Quoting in ERPLY (POS system)
- Issuing Sales Invoices upon request
- Communicating and obtaining Supplier quotes from PMs, ensuring pricing accuracy
- Checking and correcting Costing Sheets for all custom items and creating these items in ERPLY (POS system)
- Running weekly Project progress meetings with PMs to ensure timely manufacture and delivery
- Providing feedback reports to the Creative Director and Financial Director on project progress, delivery, and forecast for balance payments
- Ensuring PMs comply with quality control and delivery policies
- Processing project expense sheets and relevant records
- Allocating all requests in the info/enquiry inbox to the relevant Project Manager
- Providing administrative assistance to PMs or the Creative Director as required
Supplier Interface:
- Processing orders requested by PMs
- Acting as a communication liaison regarding all orders, payments, and timely deliveries
- Managing the supplier payments process according to OKHA systems
Showroom Orders:
- Processing orders and ensuring stock levels are adjusted
- Managing supplier payments to ensure efficient manufacture

Candidate Requirements
Minimum Qualifications:
- Finance or Bookkeeping Diploma (advantageous)
Essential Skills and Criteria:
- 3 years of working experience in creditors within the retail industry
- Analytical thinking and problem-solving capabilities
- Exceptional level of accuracy and attention to detail
- Good working knowledge of Excel and the Microsoft Office Suite
- Proficiency in English, both written and spoken
- Ability to remain calm, multitask, and work under deadline-driven pressure
- Strong interpersonal skills and ability to build relationships at all levels
- Excellent communication and organizational skills
- Ability to work without supervision, use initiative, and be proactive while working within a team
- Ability to prioritize and manage own workload amidst conflicting demands and busy work periods
- High degree of professionalism
- Minimum uncapped internet requirement of 20mbps upload and 20mbps download speed
